Elm Grove Is On The Move

This website is run by the Elm Grove Primary School Parent Teacher Association, a charity registered in England and Wales, number 1144560, at Elm Grove, Brighton, BN2 3ES. For the purposes of UK data protection law, the PTA is the data controller for this website.

We have tried to collect as little information as possible. This page explains exactly what we collect, why, and what you can ask us to do about it.

What we collect when you log miles

When someone fills in the "Log a distance" form, we store four things:

We also record the date and time the entry was made.

The name and class you enter are shown publicly on this website, in the "Just logged" list. Please only enter a first name. Please do not enter a surname, an address, a school photograph, or anything else that could identify a child beyond their first name.

We do not ask for, and you should not enter, an email address, a telephone number, a date of birth, or a home address. There is nowhere on this form to put them.

Grown-ups: please fill this form in on behalf of your child rather than asking them to do it themselves. If you would prefer your child's name not to appear at all, enter a nickname, an initial, or your family name, for example "the Smiths". The miles still count.

Our lawful basis

We rely on consent. Nobody has to take part, nobody has to use their real name, and the challenge works perfectly well with a nickname. Filling in the form is a voluntary choice to share that information publicly.

Money and donations

We do not take payments on this website and we never see your card details. The "Donate now" button sends you to our fundraising page on Localgiving, which is a separate organisation with its own privacy policy. Anything you enter there is covered by their policy, not this one.

The total raised shown on this site is a figure typed in by a PTA volunteer. It contains no information about individual donors.

Cookies

This website does not use cookies. We do not track you, we do not profile you, and we do not run any advertising or analytics. That is why you have not been asked to accept anything.

The admin page used by PTA volunteers stores a sign-in token in the browser so that they stay signed in. This is necessary for the sign-in they have asked for, and it is not used for tracking.

Other services this page uses

Like most websites, this one loads some things from elsewhere. When it does, those organisations will see your device's IP address, because that is how the internet delivers anything at all. They are:

We do not send any of these organisations your name or any other detail you have typed in.

How long we keep it

Mile entries stay on the site for the duration of the challenge. Within three months of the challenge finishing, we will delete the individual entries. We may keep the overall total, which contains nobody's name.

Who can see and change the entries

The list of entries is public, because that is the point of the challenge. Only PTA committee members with a password can edit or delete entries. Nobody other than the PTA can change the total raised.

Your rights

You can ask us to show you what we hold, correct it, or delete it. For an entry on this site, deletion is usually immediate and we will not ask you to justify it. You can also withdraw consent at any time, which simply means asking us to remove the entry.

If a child's name has been entered and you would rather it was not there, tell us and we will remove it straight away. You do not need to explain why.

Changes to this policy

If we change how any of this works, we will update this page and change the date at the top.
